Privacy & Cookie Policy

How PDFZivo handles your files and personal information — including cookies, file deletion and security. Files are processed temporarily and deleted automatically; we never provide general cloud storage.

Overview

PDFZivo provides online document tools and small-business document workflows. This policy explains what information we collect, how we use it, and the choices you have — including cookies, how long files are kept, and how we keep data secure. We designed PDFZivo to be private by default: the files you process are handled temporarily and removed automatically. We do not provide general cloud storage of your files.

What we collect

  • Account data — your name, email and authentication details.
  • Uploaded files and temporary processed files — handled temporarily to run the tool you choose.
  • Payment data — handled by our payment gateways; we do not store full card numbers.
  • AI/OCR processing data — file content processed to produce AI or OCR results.
  • Support/contact data — messages, tickets and related details you send us.
  • Usage and analytics data — which tools you use and basic operational metrics.
  • Advertising data — where ads are shown, advertising cookies may be used (see Cookies).
  • Email/notification data — delivery status and email preferences.
  • Deliverability data — bounce, complaint and suppression status for emails.
  • Logs and security data — technical logs used for security and reliability.

Files you upload

When you run a tool, your file is uploaded over an encrypted connection, processed, and made available to you as a download. To run AI and OCR features, file content may be processed by our AI/OCR systems and the providers/services that power them.

  • We do not permanently store the files you process; there is no general cloud storage.
  • We do not sell the contents of your documents.
  • Download links are signed and expire after a short period.

Data & file deletion

Uploaded and processed files are temporary and are deleted automatically by our cleanup rules a short time after processing. This applies to everyone — guests, logged-in free users, and paid users alike. A paid plan does not turn temporary processing into permanent storage.

  • Content is only kept beyond the temporary window if you explicitly save it using a feature that supports saving.
  • Once a temporary file has expired or been deleted, it cannot be recovered — download your results before the link expires.
  • You can manage saved records in your workspace, or contact us for account/data-deletion requests.

Cookies

Cookies are small text files stored in your browser. We use cookies and similar technologies (such as local storage) in these categories:

  • Necessary — session, authentication, security/CSRF. Required; cannot be turned off.
  • Preferences — remember settings such as language or workspace.
  • Analytics — understand how the site is used so we can improve it (where implemented).
  • Advertising — ads (for example Google AdSense) shown to guest/free users; partners may set cookies to serve and measure ads, including non-personalized ads. Paid plans remove ads.

Payments are handled by our payment gateways, which may set their own cookies during checkout under their own policies. You can accept all, reject non-essential, or manage categories with the cookie preferences control below; your choice is saved on your device and controls analytics/advertising scripts where technically implemented.

Email and deliverability

We send transactional and operational emails to run your account (see our Email & Anti-Spam Policy). To protect deliverability we record delivery status and may suppress addresses that hard-bounce or report our mail as spam. We do not buy, rent or scrape email lists.

Payments

Paid plans and AI Credit purchases are billed through third-party payment gateways (Razorpay for India; Paddle, as Merchant of Record, for international). We do not store full card numbers; payment details are handled by the gateway under its own terms. See our Billing, Payments & Refunds policy.

Third-party providers

We rely on categories of trusted providers to operate the service, which may include:

  • payment gateways;
  • an email/mail delivery provider (for example Amazon SES) where used;
  • hosting and storage infrastructure for temporary processing;
  • an AI provider for AI features;
  • an OCR provider/service for text recognition;
  • an analytics provider; and
  • an advertising provider for ads shown to free/guest users.

Security

Security and privacy are built into how PDFZivo works. All traffic between your browser and PDFZivo is encrypted using HTTPS/TLS, so files cannot be read in transit. Files are processed temporarily and deleted automatically, raw file paths are never exposed, and downloads use temporary signed URLs.

Your workspace data is isolated to your account and gated behind authentication, roles and permissions. No method of transmission or storage is perfectly secure, but we work to protect your information. To report a vulnerability, email [email protected] so we can investigate responsibly.

Data retention

Processed files are deleted automatically shortly after processing. Account and workspace data is kept while your account is active. If you delete your account, we remove your workspace data, except where we are required to retain limited records for legal, security or accounting purposes.

Your rights and data deletion

Depending on your location, you may have the right to access, correct, export, or delete your personal information. You can manage most of your data directly in your workspace. To request access or deletion, contact us using the details below and we will process your request in line with applicable law.
