Where proformas fit
Buyers raising internal approvals need a document that looks like the final bill; importers need value declarations before shipment; advance payments need something to pay against. The proforma is that document — complete, priced, and explicitly not yet a demand for payment.
Clearly proforma, deliberately
The document is titled PROFORMA INVOICE — because a proforma mistaken for a tax invoice creates accounting confusion on both sides. When the sale concludes, generate the actual invoice; the proforma's details carry over.
The trade-document details
Validity period, delivery and payment terms, full item descriptions — proformas do more specifying than normal invoices because they are read before commitment. Region sets currency; tax shown as it will apply.
